Membership registration

Register your whole family in one go — up to 6 members. Adults $20 · Seniors $10 · Students (12–17) $10 · Kids under 12 free. Memberships run to 30 June each year.

  • Membership is available to everyone (including kids)
  • Membership benefits are strictly to be used by the registered members
  • You promise NOT to use or conduct any fraudulent or business activity
  • Any member cannot have more than one Member Account at any time
  • Memberships and any benefits availed from it are strictly for use by the members, and are non-transferrable
  • Membership tenure is limited to a financial year. July to June.

Electricity

Minimal power is available onsite. Choose a connection if you need it — or bring your own generator (test-tagged equipment only).

Terms & Conditions

  1. All signage must be provided by the Stall Holder (e.g. menu boards, price signs, etc.).
  2. No other generic products may be sold such as packet chips or chocolate bars.
  3. We encourage collaboration with businesses and encourage to share a stand.
  4. Stalls must be occupied by 10:30 am sharp on Saturday. Set up must be done and ready by 03:30 pm.
  5. All tents/marquees/structures MUST be weighted for safety, no pegging on grassed area.
  6. No cigarettes, tobacco or vaping products, alcoholic beverages are permitted to be sold.
  7. Vendors must behave in a professional and courteous manner.
  8. Stallholders must take direction from the Stalls Coordinator/Festival organizer.
  9. Cancellations must be notified in writing 7 days prior to the event. No refunds will be made after this time.
  10. No refund will be offered to stallholders who do not turn up on the day.
  11. All stallholders MUST minimize waste and use recyclable or compostable materials as much as possible. No single-use plastics.
  12. All oils must be removed from the site at the end of the event. Please do not pour oil/wastewater down drains or onto the grass.
  13. Your site must be left as you found it; bins are provided for public use only, please remove ALL rubbish.
  14. Food outlets with a deep fryer must have a dry chemical powder fire extinguisher on site.
  15. All stallholders must have current $20 million Public Liability Insurance.
  16. Only minimal power is available onsite — stallholders must bring their own generators if power is needed. All electrical equipment must be safe and display a current test tag. Untagged items cannot be used. Contact us in advance if you need help with compliance.
  17. Stallholders must provide their own current tagged and tested power leads and power boards with circuit breakers.
  18. The Stallholder Coordinator will allocate your site location and advise you of this prior to the event. You will actively need to check emails for updates. Bump in and site map will be issued in the week leading up to the event.
  19. The event will be postponed in any bad weather conditions and if it is deemed dangerous to the public, e.g. extremely high winds. Unfortunately, we are unable to offer a refund for a last-minute event cancellation due to unforeseen circumstances beyond our control. But the event if cancelled will be moved to another date. Your fee will be transferred also. You will be refunded if you cannot make the new date.
  20. Payment should be made for site confirmation.

By proceeding you agree to be bound by these Terms. If you disagree with any part of the terms, then you may not apply.

All applications must include copies of the following:

  • Public Liability Insurance certificate ($20 million)
  • Food Safety Supervisor Certificate — where applicable (all food stalls require a qualified Food Safety Supervisor onsite). Apply via Food Safety NSW.
  • Mobile / Temporary food stall approval from Port Macquarie council — apply via Port Macquarie-Hastings Council.
